2019 Learning Engagement Conference / Hackathon

Each year the Greater Plains Collaborative Clinical Research Network holds a gathering of patients, patient advocates and caregivers, along with the academic leaders from each GPC site, in Kansas City, MO. This is a great opportunity for patients and other non-academics to learn about PCORnet, the CRN program, and the GPC in general. GPC representatives meet face-to-face with one another for discussion on current GPC activities and future goals. We learned during previous Learning Engagement events that attendees who subsequently became involved in other GPC activities and governance more fully understood what PCORnet is all about, which is critical for full participation and contribution. This year, we will again be combining our Learning Engagement Conference with our annual Hackathon, which serves as an opportunity for Dev members to meet face-to-face and work on current issues and milestones.

When: This year we are scheduling our event to align with the CTSA meeting on October 1st & 2nd, so our schedule will be modified from previous years:

  • Wednesday, October 2nd, 2019
    • Optional meetings with various GPC groups 8am - 12pm (more information coming soon) 
    • Optional lunch provided 12pm - 1pm
      • Please indicate on your registration if you would like a lunch provided for you
    • Meeting will be officially held from from 1pm - 5:30pm
  • Thursday, October 3rd 
    • Meeting will last all day from 8am - 4:30pm

What: The agendas below are "final". Any updates will be very minor and included in print in the folders you will receive at the event.  




Requested Attendees: Sites received money in their budgets to pay for travel for 5 people, and KUMC will cover travel expenses for all patients who attend. We are requesting the following attendees from each site, but sites are welcome to send additional people if they would like:

  • Site PI
  • Patient Advisor (KUMC covers travel expenses)
  • Patient Engagement Officer
  • IRB Representative
  • Dev Team Member
  • Project Manager

Flights: Please plan on flying in to Kansas City MCI airport. KUMC will pay for flights for patient advisors. Plan to arrive in time to make it to the conference center by 1pm at the latest on Wednesday, 10/2, and make sure to plan your return flight so that you can stay until the end of the conference at 4:30pm on Thursday, 10/3. You may find it easiest to stay in Kansas City the night of 10/3 and fly out on Friday, 10/4. 

Hotel Accommodations: This year we will be utilizing one hotel (see below). Hillary Sandoval will make all hotel reservatiosn based off of responses on the registration surveys, and will distribute confirmation numbers prior to the event. As people will likely be arriving and departing on various dates this year due to our altered schedule and alignment with the CTSA meeting, there will be different options on the survey to indicate which nights you would like. Please make sure to register and indicate the nights you would like a room as soon as possible so that we can adjust our block accordingly and ensure everyone receives the best rates. 

Meals: The following meals will be available at the event:

  • Tuesday, October 1st
    • Optional informal dinner for those arriving early at HopCat - Attendees will need to pay for their own food and be reimbursed by their sites. They will also need to arrange their own transportation.
  • Wednesday, October 2nd
    • Breakfast voucher to eat at the hotel will be provided by KUMC to those who indicate they would like one on their registration
    • Lunch will be provided at the conference center to those who indicate they would like one on their registration
    • Dinner planned for everyone at Brio Tuscan Grille on the Country Club Plaza 
      • Location is walkable from the hotels, but shuttles will also be available to bring people back and forth from the hotels
      • Drinks beginning at 6:30pm (cash bar), buffet dinner to be brought out around 7pm
      • Food and non-alcoholic beverages are provided, attendees must pay for their own alcoholic beverages
  • Thursday, October 3rd
    • Breakfast will be provided at the conference center
    • Lunch will be provided at the conference center
    • Optional informal dinner for those still in town at Jack Stack - Attendees will need to pay for their own food and be reimbursed by their sites. They will also need to arrange their own transportation


  • We will have shuttles available at the following times:
    • Wednesday, 10/2:
      • From hotel to conference center in the morning
      • From hotel to conference center around 12pm - 1pm
      • From conference center to hotels after meetings end at 5:30pm
      • From hotels to dinner location
      • From dinner location back to hotels
    • Thursday, 10/3:
      • From hotel to conference center in the morning
      • From conference center to hotel after meeting ends
  • Attendees will need to arrange their own transportation for the following times:
    • To and from the airport
    • To and from any informal dinners attended on Tuesday, 10/1 or Thursday, 10/3
    • To and from any recreational activity attended on the morning of Wednesday, 10/2
